Okta Information Session

Join Los Rios IT for an information session to provide employees with an overview of Okta, a new identity and access management system launching in December 2023. Okta is a required tool that will be used by all students and employees to manage their Los Rios digital identity (WID), control access to various college resources, and streamline login and authentication processes.

In this information session, we'll demonstrate the user experience, walk through the setup process, and answer questions about the MFA process. If you are unable to attend the information sessions, recordings will be posted on the Okta knowledge base article.

Why Okta?

Okta is being implemented as part of the district's ongoing efforts to combat cybercriminals and safeguard student and employee data. The Okta toolset includes the following components:

• Single sign-on (SSO)
• Multifactor authentication (MFA) for students and employees (replacing the Duo Mobile app)
• Password self-service
• Okta dashboard

What Systems or Services Will Be Impacted?

Okta and MFA will be required to access most applications currently available through SSO, including the following:

• Microsoft Office 365/Outlook
• G-Suite/Gmail
• Online Grading System (OGS)
• Socrates
• PeopleSoft Applications (eServices, Employee Self-Service, Campus Solutions, Human Resources, Financials)
• Global Protect VPN for remote access
• Virtual Desktop Infrastructure (VDI)

Note: Okta and MFA will not be applied to Canvas at this time.

What Users Will Be Impacted?

This change impacts all students and employees (including faculty, adjunct faculty, classified staff, temporary staff, contractors, and student employees) who access Los Rios systems.

When Does Okta Go Into Effect?

Okta will be available beginning on the following dates:

• December 4, 2023, through January 3, 2024 – Optional early Okta registration period. Though early registration is not required, it does provide an opportunity for users to setup Okta and verify everything works so they do not run into problems during important events (for example, financial aid deadlines, first day of class). During the early registration period, users will still have the ability to use the current SSO page and Duo Mobile for MFA until January 4, 2024. More information on how to register with Okta early will be sent out next week.
• January 4, 2024 – All students and employees will be required to authenticate through Okta in order to access most Los Rios systems.
